Upgrading your POS system

POS – is yours a Perfectly Organised System or Partially Operative Sometimes?

This article is provided by an external software provider.

How much time do you spend preparing your accounts? On cashing up? Dealing with invoices? Managing the staff rota? If your POS isn’t helping you with all that, it might be time for an upgrade. An integrated POS can help speed up your processes and automate tasks – meaning you’ll spend less time on admin and more time on the stuff that could take your business to the next level.

What is an integrated POS system?

An integrated POS system means there is a connection between your POS and other business software, allowing data to flow from one software system to another. Integrated software reduces manual information entry giving business owners access to real-time data on their performance. For example, when your point of sale integrates with cloud accounting software, sales and payments data are automatically imported to save you time doing bank reconciliations each week.

How can an integrated POS system benefit your business?

Centralising your business software into one POS system can simplify operations across many aspects of your hospitality business. Let’s look at a few common business problems that an integrated POS system can help address.

Painless checkouts

The key to ensuring a smooth checkout experience is integrated card payments. These allow the POS to synchronise with your card machine. Once a staff member adds the amount to the bill and selects card payment on the POS, the card machine receives the transaction amount automatically. As the staff member doesn’t have to manually enter the amount for each transaction, this streamlines the checkout flow and eliminates errors, making reconciling easier.

Don’t subject your customers to slow devices at the till either. Instead, upgrade your hardware to improve their experience. Your card payment machine should allow you to accept payments in seconds. If it doesn’t, it might be time to upgrade. Upgrading your hardware can unlock further benefits, such as enhanced security and the ability to take payments on the move. In many cases this can result in enhanced service levels in leisure environments as customers can enjoy their dining experience whilst fully seated.

Can your customers pay how they want to pay?

Modern cloud-based POS systems have additional tools to help manage your business. Outside of simply processing card payments, this can include the ability to sell gift cards, built-in invoicing tools and remote payment features: ideal taking deposits for large bookings, events or corporate clients.

Need a clearer insight into how your business is doing?

An integrated POS should give you access to easy-to-understand sales reports and inventory management designed to reduce overstock, forecast demand and prevent shortages. As it’s cloud-based, you can get them straight to your phone to track everything on the go.

Are your fees too high?

Many card readers and POS products appear cheap or free, but business owners are often stung by hidden charges later. For example, for calling the help centre, using a merchant account, or processing transactions. Know where you stand by choosing a provider with a flat fee; that way, it’s easy to budget. Often, pay-as-you-go providers have no lock-in contracts and custom rates for those that take over £10,000 per month.

Simplified bookkeeping

One of the first hurdles small businesses encounter is accounting. If POS integrates with your accounting software, sales and payment data imports automatically at the end of each day. This simplifies bookkeeping, saves precious time and reduces the risk of human error.

Booking reservations and online ordering

In some hospitality settings, additional POS features can drive further efficiencies. These include managing reservations, third-party delivery platforms and the staff rota. Using your POS to do this eases the learning curve for management as they only have to learn one tool.

Talk to an independent specialist

As an independent service, SB Digital doesn’t benefit from recommending any specific software. Our initial consultation is free of charge and doesn’t come with any obligation.
